What’s involved in becoming a Coach or Manager?
These are the housekeeping requirements to become a coach or manager:
- Register as a volunteer via Rugby Xplorer
- Apply for a Working with Children Check (WWCC) | Service NSW
- All coaches need to have their SMART Rugby Accreditation and 2025 Season Ready done via the Learning Centre in Rugby Xplorer.
- U10 / U11 / U12 – you need a Ground Marshal and Assistant Referees from your team. All need to be registered and qualified.
Coaching resources
- Coaches may also do the “Coaching Kids Rugby” course (optional) and/or the “Foundation Course” (optional)
- Managers U10-12 must complete the Administration Accreditation “Competition Management Course”
- Assistant Referees* (touch judges): must do the “Assistant Refereeing Kids Rugby” course
- Rugby AU Learning Centre is available in the web version of Rugby Xplorer. Users must have an active registration.

Coaching FAQs:
I don’t have enough players – can I borrow from other Clovelly teams?
Minis
Yes – talk to your age manager or other teams, generally can also ask kids from the age group below to assist.
FRIDAY Night U10 and Up
In short Yes “BUT” – you can talk to other teams coach / manager to arrange
U11 / U12 – No Randwick Green players can be shared amongst teams (U10s this wont come into effect until Green Team selected for the State Gala)
To add players to your Squad – please ask Lindsey Dawson to add those players to your teams squad for selection in the Rugby Explorer.
Props or Front rowers – even if Green Randwick teams – we can request approval as it’s a specialist position
Note you need to go through the President or Vice President of Clovelly who will request dispensation – from SJRU
My team has numerous issues this week – we need to forfeit or request a change of playing date – what do I do?
Minis
First talk to your age manager review all options to get players assist are exhausted, then inform one: Minis Coordinator, Vice President or President of Clovelly who will ensure (Club opposition, Randwick Jnrs, SJRU, Referees are updated). No chance of a change in playing date.
FRIDAY Night U10 and Up
- Alert this to the President or Vice President of Clovelly
- If you want to re-arrange (Club can find out details or If you have the opposition coaches details) – you can contact to request a change of date? Note they do not have to agree, in that event it will be a forfeit
- IF they agree – inform / update – President or Vice President of Clovelly of new details or the Forfeit outcome
- Clovelly will then inform –
- President of the other Club
- Randwick Juniors (President)
- SJRU – who manage the competition and RX
- The Referees co-ordinator
AT NO STAGE SHOULD INDIVIDUAL TEAMS DECIDE TO CANCEL / FORFEIT / ABANDON A MATCH WITHOUT FOLLOWING ABOVE PROCESSES
I don’t have a front row – we cant contest scrums or the opposition cannot contest scrums? FRIDAY Night U10 and Up
FRIDAY Night U10 and Up (ONLY)
This needs to be updated in Rugby Explorer and – show who requested the No contest.
Note you can only not contest scrums in 2 matches during the season or will not be able to qualify for finals football.
The referee can decide – scrums should be uncontested during the match – that
The opposition player looks above the Size for Age – FRIDAY Night U10 and up
Courteous and respectful please at all times – it will not be resolved at the match.
Do not speak to the player, or the opposition about it, as they are playing the player we have to presume they have followed the SJRU protocols. You can confirm the team lists in Rugby Explorer line up with the players in attendance. You can post the match – contact you Club President/ Vice President to raise your concerns – who can contact SJRU etc to look into. If a match is “unsafe” – that is for the coach/manager to decide. This is a different matter and would be determined as a match is played.
Something unsavoury occurs at the match – either on field or off field – what do I do?
Minis & Friday night U10 & Up
Parents – report it to your Coach/Manager who depending on the scenario will raise it with the Ground Manager (not the team Ground Marshal) but the person running the Rugby Event. Otherwise the Coach/Manager will escalate to a President/Vice President – who can liaise as necessary with Randwick Juniors, SJRU, other Club etc. Of course certain items should be escalated based on circumstances to the police but presuming these are mild rugby items not serious matters we will endeavour to resolve. Through Code of Conduct, club education, SJRU or Randwick Juniors disciplinary process.
